Settlements are where trust is either cemented or lost. The platform handles the math for you, but only if you follow the same routine every time: check the shared balance, lock the new equity, announce the result, and keep an audit trail.

Confirm every variable that affects the payout.

Key Activities:

  • Read the Shared balance, Net profit, and ROI cards
  • Ask if anyone added or withdrew funds mid-session
  • Use Rebalance equity if the contributions changed
  • Ensure pending observers/buy-action requests are resolved

💡 Best Practice: Say the numbers out loud so the team can catch mistakes before funds move.

When everyone agrees the session is over

This button is final, so take it slow.

Key Activities:

  • Click Close & settle
  • Read the confirmation dialog and continue
  • Wait for the success toast before leaving the page
  • Announce the final profit/loss and each person’s share

💡 Best Practice: Do not launch new games until the success toast appears; otherwise balances may look off temporarily.

Lock the records so auditors and teammates can review later.

  • Download the ledger CSV
  • Paste the payout summary into crew notes or Discord
  • Set the inactivity deadline if you plan to pause
  • Restart a new party if you want to keep playing with a fresh ledger

Communication Protocols

📢Someone wants to keep playing

Protocol:

Offer two choices: settle now and relaunch, or leave profits in the shared balance but note that losses could eat them. Majority vote (or captain decision) wins.

Example:

“We’re up $420. Vote now: settle or keep rolling?”

Purpose: Prevents hurt feelings by making the decision explicit.

📢Observer bought action

Protocol:

Include their share in the announcement and remind them payouts land automatically once the button fires.

Example:

“@StreamBuddy backed 5% → paid $21. Ledger updated.”

Purpose: Shows backers that the system handled their stake.

📢Captain needs to leave

Protocol:

Promote another captain before running Close & settle so someone can handle any follow-up questions.

Example:

“Passing captain role to @FableFox after this settle; DM them for payout questions.”

Purpose: Ensures accountability continues after the button is pressed.

Common Challenges

Equity does not match contributions

Solution:

Use Rebalance equity before settling. The platform will otherwise pay based on old numbers.

Review the Player equity total bar whenever funds change.

Someone missed the payout announcement

Solution:

Save the ledger and post a screenshot of the manage view summary.

Prevention:

Make settlement recaps part of the runbook every time.

Solution:

Reopen the manage view, verify no games are active, then settle immediately.

Set a calendar reminder or add “Settle?” to crew notes before logging off.

Frequently Asked Questions

Can I do partial payouts?

No. Close & settle always distributes the entire shared balance. If someone wants to cash out early, rebalance the equity first, then settle for everyone.

Where do I find the ledger?

On the manage page click Download ledger. It is a CSV that lists every contribution, bet, and settlement entry.

What if a payout fails?

Check that the player completed KYC and that their wallet is not restricted. The support team can review the ledger entry if you share the timestamp.

Do observers get paid automatically?

Yes. If they bought action, their percentage is stored with the equity snapshot and paid out during settlement like any other seat.
